Privacy Notice for capturing photographs and video
The Police and Crime Commissioner complies with data protection law (including the General Data Protection Regulation and the Data Protection Act) and is a registered data controller (registration no.Z3653467). We are committed to keeping your personal information accurate and up to date. We will not keep your information longer than necessary.
This privacy notice explains how we use your personal information and the ways in which we protect your privacy. Personal information is any information which relates to an individual such as names, addresses, photographic image or video, medical conditions, ethnicity, political opinions and criminal convictions.
This privacy notice applies to the usage of photographs and filming to promote the work and activities of the Commissioner and the Office of the Police and Crime Commissioner.

Why do we use images? To take photographs and video film for promotional purposes at events and activities. As such we are asking you, your child and/or the person in your care to appear in publicity materials to help raise awareness of our services, events and campaigns. To comply with data protection legislation, we will obtain your permission before we publish any photographs or recordings. We will not publish names of participants alongside images unless explicit consent is obtained from you.
We will provide notices at events and in registration forms to inform attendees of intended filming and photography in order for subjects to make an informed decision to opt in or out. Crowd shots are taken at events where an individual cannot be identified are therefore not subject to consent.
How are images used? We use images in a range of marketing materials, media applications and press releases to promote the office of the Police and Crime Commissioner for Hampshire and Isle of Wight as a whole and/or to illustrate particular areas of our work. This may include printed and Internet publications; advertisements; audio-visual and electronic materials; display materials; and media work on broadcast, print and social media; local or national press releases, and any other media or platform which the office of the Police and Crime Commissioner deems appropriate. Please be aware that images may appear on our website, on our social media sites or any combination of our platforms, these sites can be seen throughout the world not just in the United Kingdom where UK law applies.
How long does consent last? Images captured at this event will be retained for promotional purposes by the Office of the Police and Crime Commissioners for the term of office of the current Police and Crime Commissioner plus one year (four+1 years) after this time your images will be deleted from our photo library. Your consent is valid for this duration, however you can exercise your subject rights to change or withdraw your consent at any time by notifying the Office of the Police and Crime Commissioner in writing – see over for details on how to do this. We are unable to withdraw or delete images already published or released to the press.
Your personal data will remain in the UK and will be stored securely. We will not share your personal data with other companies outside the Office of the Police and Crime Commissioner for Hampshire and Isle of Wight.
Who keeps the forms and images? All images are stored in our photo library by the Communications and Engagement team of the Office of the Police and Crime Commissioner and deleted in accordance with our retention schedule.

How do we handle your personal information?
We handle personal information in accordance with data protection law. Your personal information held on our systems is secure and is accessed by our staff, contractors working on our behalf in accordance with their contract when required to do so for a lawful purpose.
We will ensure that your personal information is handled fairly and lawfully with appropriate justification. We will only use your information for a lawful purpose.
How do we keep your personal information safe?
We take the security of all personal information under our control very seriously. We will comply with the relevant parts of the legislation relating to security. We will ensure that appropriate policy, training, technical and procedural measures are in place.
